1. Part identification
Put the reference number at the top of the RFQ. Copy every letter, digit, and suffix. If the old label is damaged, attach the photo and mark the uncertain character instead of guessing.
- OE number from the old rack
- Supplier or aftermarket reference, if known
- Hydraulic, electro-hydraulic, electric, or manual steering
- LHD or RHD
- Any visible solenoid, motor, sensor, or electronic control unit

2. Vehicle application
Send the make, model, production year, engine, and sales market. “Toyota rack” or “Polo 2009” is too broad for a fitment confirmation. If you have a VIN, include it, but keep the other vehicle details in the message as well.

3. Quantity and order type
State whether the request is for one sample, a mixed trial order, a repeat order, or a regular volume program. A supplier cannot give a useful packing or freight calculation without quantity.
For a mixed order, list each OE number and quantity on a separate line. A spreadsheet is better than a long chat message once the request covers several products.
4. Packaging and branding
If neutral packaging is acceptable, say so. If you need your own label or printed box, provide the label size, artwork status, color requirement, barcode format, and expected quantity. Custom packaging and a stock neutral carton should not be treated as the same quotation.
5. Delivery destination
For courier or air freight, provide the destination city and postal code. For sea freight, provide the destination port and whether the quote should be based on EXW, FOB, CIF, or another agreed term. If you are still comparing options, ask for the product price and freight as separate lines.
6. Photos that help with fitment
- Full rack from above
- Label or engraved number
- Input shaft and spline
- Hydraulic hose ports or electrical connectors
- Mounting points and brackets
- Motor, sensor, or solenoid label when fitted
Use original photos at readable resolution. Cropped screenshots passed through several messaging apps can remove the detail needed to read a suffix.

This format gives the supplier enough information to check the product and prepare a commercial response. If the application is still uncertain, label the request “fitment check” rather than asking only for the lowest price.
Before sending
- Check that the OE number in the subject matches the number in the body.
- Check the steering side from the driver’s seat.
- List quantity per part, not only total quantity.
- Confirm the delivery country, city, or port.
- Attach the label and connection photos.
